Privacy notice for The Danish Church in London

version 1.1, updated 02/06/2018

This document outlines how The Danish Church in London ("we", "us", "our") handles personal data and sensitive personal data.

We are a UK registered charity (charity number 237897), resident at 4 St Katharine's Precinct, Regent's Park, London, NW1 4HH. We function as a church but we also do social, cultural and educational events for members and guess. We do not receive any funding from "Folkekirken" in Denmark of the Danish State, why we rely to a high degree on the generous donations and membership payments.

How we collect data:

We collect data in different ways:

  • When you sign up or renew membership through our online system (card payments or Direct Debit), standing orders or by filling out a membership form.
  • When you sign up for an event including our Danish courses, "Lørdagsskolen" and "Aftenskolen".
  • When you make a donation or payment.
  • When you sign up for our newsletters.
What data are we collecting:

We collect personal data about our members, newsletter subscribers, donors and volunteers such as names, addresses, phone numbers, email addresses, birthdays, family members, donations and Gift Aid declarations. If you set up a standing order or direct debit payment, we will ask you to provide the details of your bank.

What do we use the data for:

We use the data for communication with our members, newsletter subscribers, donors and volunteers in different ways including email and post; to send reminders, to inform about news and events happening in the church and registration for events. We also use the data for financial accounting, for managing our membership database and for Gift Aid applications where the member has chosen to Gift Aid their contribution.

Our online payments for memberships, events and donations are processed by Flexminds Aps (single payments) and GoCarddless Ltd (Direct Debit membership payments). Personal data such as names, addresses, phone numbers, email addresses and payment information is shared with these third parties for the sole purpose of processing the payments and managing our memberships, donations and events.

Where do we store the data:

The data is limited to and stored by the administration of the church. It is limited to be used only by our relevant employees and trustees (members of the Church Council) who need membership information in order to fulfill their job (e.g. the Vicar, the Treasurer and administration). Names and addresses of the recipients of our church magazine are also shared with a third party (the publisher of the church magazine) in relation to sending out the magazine.

Disclosure:

We do not share personal information or sensitive personal information with any third parties for marketing purposes

When will data be deleted:

We keep membership information in order to renew memberships on the member's request and for the relevant employees and trustees to be able to carry out their roles. The personal data will be removed if a member, a former member, a volunteer or a donor requests the data to be deleted.

Our members always have the right to unsubscribe from our newsletter by using the unsubscribe link in the letter.
